An all-in-one Auto Spare Parts Management System with a fast POS

An all-in-one Auto Spare Parts Management System with a fast POS to streamline sales and inventory control. Features role-based access for 3 users (Admin, Supervisor, Employee) to ensure smooth daily operations and quick checkout.

The problem

Client & Business Challenges An auto spare parts retailer was facing operational bottlenecks that impacted profitability and customer service speed: Slow Sales Operations: Difficulty looking up compatible parts for customer vehicles using traditional, manual records. Loss of Inventory Control: Inaccurate stock counts, leading to frequent stockouts of key parts or overstocking dead inventory. Lack of Access Control: Overlapping staff roles, which compromised financial report accuracy and increased human error.

Requirements analysis

Requirements Analysis Document: Auto Spare Parts Management System & Point of Sale (POS) This document details the functional and non-functional requirements for an auto spare parts store management system featuring an integrated POS unit and role-based access for three distinct user roles (Manager, Supervisor, Employee). 1. Functional Requirements 1.1 User Access & Role Management Secure Authentication: Secure login mechanism with role-based access control (RBAC). Role Permissions: Manager (Admin): Unrestricted access to all system modules, financial reports, pricing configuration, profit margins, and user management. Supervisor: Stock and inventory management, receiving purchase orders, approving returns and manual discounts, and viewing daily operational reports. Employee (Cashier): Restricted access strictly to executing sales via POS, looking up parts, and printing receipts (no access to change unit prices or void transactions without supervisor approval). 1.2 Point of Sale (POS) Fast Item Lookup: Search capability by: Part Number. Barcode Scanning. Description, vehicle make, model, and manufacturing year. Billing & Checkout: Instant creation and printing of receipts (thermal or standard A4) with support for multiple payment methods (Cash, Card, Digital Transfer). Return & Refund Processing: Processing returned items and generating credit notes (requires Supervisor/Manager override). 1.3 Inventory & Parts Control Part Cataloging: Storing detailed item attributes (Name, Part Number, OEM compatibility, shelf/bin location). Low Stock Alerts: Automated notifications when stock levels reach or drop below defined reorder points. Stock Intake & Adjustments: Adding new stock shipments and updating inventory levels (restricted to Supervisor and Manager roles). 1.4 Reporting & Analytics Sales Reports: Daily, weekly, and monthly breakdown of total sales and revenue channels (accessible to Manager and Supervisor). Profitability & Stock Analytics: Profit margin analyses, top-selling items, and dead-stock identification (restricted to Manager). 2. Non-Functional Requirements Performance & Speed: Sub-second response time for POS searches and barcode scans to maintain fast checkout workflows. Security & Audit Trail: Encrypted passwords and detailed activity logging (Audit Log) to trace every transaction, price edit, or inventory adjustment to a specific user account. Usability: Intuitive, streamlined User Interface (UI) requiring minimal training for new employees. Reliability & Data Protection: Database protection mechanisms with automated system backups to prevent data loss.

Architecture

Monolithic RESTful Architecture Overview Architecture Style: Single-Tier Monolithic System with RESTful API Integration Core Structure (Monolith): Single unified codebase containing all modules (POS, Inventory, User Auth, Reporting) deployed as a single application instance for low operational complexity and easy maintenance. API Layer (RESTful): Stateless REST APIs using standard HTTP methods (GET, POST, PUT, DELETE) with JSON payloads to decouple the backend logic from frontend clients. Frontend: Responsive Web App / POS Desktop Interface consuming the RESTful APIs. Database Layer: Centralized Relational Database (e.g., PostgreSQL / MySQL) handling atomic transactions (ACID) to ensure zero data discrepancies during concurrent POS sales and stock updates. System Component Diagram Flow [ POS / UI Clients ] <--> HTTPS / JSON <--> [ Monolithic Application (REST APIs / Auth / Business Logic) ] <--> [ Relational Database ]

Results

Key Metrics & Results Checkout Speed: Reduced from 5 minutes to 35 seconds (85% faster). Inventory Accuracy: Increased from 62% to 99.4%. Transaction Errors: Dropped by 95% (under 1% error rate). Staff Productivity: Sales increased from 35 to 110 transactions/day.

Lessons learned

Key Lessons Learned UX Simplicity: Intuitive POS layout cut staff training down to a single day. Strict RBAC: Requiring supervisor overrides for refunds/discounts eliminated revenue leakage. Monolithic Efficiency: A Monolithic RESTful architecture lowered infrastructure costs and simplified maintenance.
