What determines the cost of a custom system?

The first question most clients ask is how much the system will cost. The honest answer is that a price before understanding the need is a guess, and guesses hurt both sides: either a high price that covers the unknown, or a low one that later turns into paid changes and disputes.

What drives cost most is the number of roles and screens. A system used by one role with ten screens is very different from one with management, teachers, students and parents, each with their own permissions and interfaces.

Then come integrations: online payments, SMS, a fingerprint device, or an existing accounting system. Each needs a study of the other side and careful testing, because mistakes there touch money or data.

Some factors are easy to overlook: supporting both Arabic and English, working offline, migrating old data from spreadsheets and previous systems, and the volume of reports required. Each adds real work.

That is why we start with an analysis session where we write down what the system needs, then give a written estimate of the phases and what each includes and excludes. When comparing quotes, compare exactly that: does the quote include source code, documentation and training? Who owns the hosting and domain? How long is support after handover? Two quotes at the same price can differ a lot in what you actually receive.

If the budget is limited, the answer is usually not a cheaper system but a smaller first version that covers your most important process, then growing once you see its impact.
